We’re the controller of the personal information described in this policy. That means we decide how and why it’s used, and we’re responsible for looking after it properly under UK data protection law, including the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
Watson & Dalton Bespoke Spaces Ltd is a private limited company registered in England and Wales, company number 13297983. Our registered office is 30 Charlton Road, Andover, Hampshire SP10 3JL.
We’re registered with the Information Commission’s Office (ICO), the UK’s data protection regulator, registration number ZC269025. You’ll find how to contact them in Complaints.

What we collect and how
When you send an enquiry through our website
Our enquiry form asks for your name, email address and phone number, your postcode if you give it, and the design choices you make in our garden room designer. That can include what the building will be used for, its approximate size or dimensions, your budget and timescale, whether you need electrics, heating, plumbing or machinery access, your message to us and how you heard about us. We also keep a record that you ticked the box to say you’re happy for us to contact you about your enquiry.
When you download our brochure
We ask for your name and email address. There’s also an optional tick box to say you’re happy for us to email you about your project. You get the brochure either way, and we record whether or not you ticked the box, along with which brochure you downloaded.
Technical details sent with a form
Our forms are run by Netlify, the company that hosts our website. Along with what you type, Netlify may record technical details such as the date and time of the submission, your IP address and your browser type. These help to block spam and keep the forms secure.
When you use our live chat
Our website has a live chat box, provided by Crisp. If you use it, we’ll see the messages you type, along with your name and email address if you choose to give them. Crisp also records technical details such as your IP address, browser and device, so that the chat works properly and stays secure.
When you call, email or message us
If you phone or email us, we’ll have your contact details and anything you choose to tell us, such as the address of the property, what you have in mind, and any photos, sketches or drawings you send.
If you message us on Instagram, we’ll see your Instagram name and profile and the messages you send. Instagram is run by Meta, which also handles that information under its own privacy policy.
If you become a client
To plan, price and carry out your project, we’ll also hold things like the site address, drawings and specifications, quotations, contracts, invoices and payment records, our correspondence with you, and any planning or building control paperwork.
When you browse our website
We don’t use analytics or tracking tools, so we don’t build up any picture of how you use the site. To show you the pages at all, a couple of services necessarily receive some technical information:
- Netlify, our hosting provider, processes technical data such as your IP address, browser type, the pages you request and the time of your visit in its server logs, to deliver the website and protect it from misuse.
- Google Fonts: our typefaces are loaded from Google’s servers, so your browser sends Google your IP address, browser details and the address of the page you’re on. Google says it doesn’t set cookies for this service or use the information to profile you or show you adverts.
We don’t ask for sensitive information, such as details about your health, so please don’t include it in our forms. If something like this matters for your project, for example an accessibility need, mention it when we speak and we’ll talk about how we’ll use it.
How we use it and why
Data protection law says we need a valid reason, called a lawful basis, for each way we use your information. Here’s what we do and the basis we rely on.
| What we do | Information used | Lawful basis |
|---|---|---|
| Reply to your enquiry, arrange a site visit and prepare a quotation | Your contact details and what you tell us about your project | Taking steps at your request before entering into a contract, and our legitimate interests in responding to people who get in touch with us |
| Reply to questions you send us through our live chat. | Your chat messages, your name and email address if you give them, and technical details about your device. | Our legitimate interests in responding to people who get in touch with us, and taking steps at your request before entering into a contract. |
| Send you the brochure you asked for | Name and email address | Our legitimate interests in providing the information you’ve requested |
| Email you after a brochure download to follow up about your project, for example to offer a site visit | Name and email address | Consent, which you give by ticking the optional box on the brochure form. You can withdraw it at any time. |
| Plan, manage and carry out your project, invoice you and look after any aftercare | Client project records | Performing our contract with you |
| Keep accounting and tax records and meet our other legal duties, such as building regulations and health and safety | Client project records | Complying with our legal obligations |
| Run the website and forms securely and filter out spam | Technical data | Our legitimate interests in keeping our website working and secure |
| Deal with any complaint, dispute or legal claim | The records relevant to it | Our legitimate interests in handling complaints and protecting our legal rights, and our legal obligations |
Where we rely on legitimate interests, we’ve made sure they’re balanced against your rights and are what you’d reasonably expect. You can object at any time. We don’t sell your information, and we don’t use it for profiling or to make automated decisions about you.
Emails about your project
The tick box on our brochure form is optional, and you can download the brochure whether or not you tick it. If you do tick it, we may email you afterwards to see whether the brochure was useful and whether you’d like to talk your project through or book a site visit. If you don’t, we won’t send you emails like this.
You can stop them whenever you like: just reply to any of our emails saying “unsubscribe”, or email info@watsonanddalton.com. We’ll keep a short note of your email address so we know not to contact you again.
Replying to an enquiry you’ve sent us, or emailing you about a project we’re already working on together, isn’t marketing, so it doesn’t depend on that tick box.
We only share your information when we need to, and only what’s needed. The people and companies we may share it with are:
- Netlify, Inc., which hosts our website and receives and stores form submissions. Netlify checks submissions with an automated spam-filtering service. See Netlify’s privacy statement.
- Crisp IM SAS, a company based in France, which provides the live chat on our website and stores chat conversations on our behalf. See Crisp’s privacy policy.
- Google, which provides our business email (Google Workspace), so enquiries, form notifications and emails you send us are stored in our Google account. Google also serves the fonts on our website. See Google’s privacy policy.
- People who help us deliver your project, such as architects, designers, structural engineers, surveyors, specialist subcontractors and suppliers, when they need your details to do their part. We only do this when it’s needed for your project.
- Our professional advisers, such as our accountant, insurers or solicitors, when we need their help.
- Public bodies, such as your local council’s planning or building control team or HMRC, when your project or the law requires it.
Netlify, Crisp, and Google for our email, act on our instructions under data processing terms that require them to keep your information secure. If you contact us through Instagram, Meta handles that information as a separate controller under its own policy.
Information stored outside the UK
Netlify and Google are based in the United States, so your information may be stored or processed there, and in other countries where they or their service providers operate.
When that happens, it’s protected by safeguards recognised under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework (which Netlify is certified under) or standard contractual clauses approved for use in the UK.
Crisp is based in France, in the European Union. The UK recognises the EU as giving your information an adequate level of protection.
How long we keep it
We keep your information only for as long as we need it for the reasons above, then delete it securely.
| Information | How long we keep it |
|---|---|
| Enquiries that don’t lead to work, including live chat conversations | Up to 2 years after we were last in touch |
| Brochure downloads (and follow-up emails, if you ticked the box) | Until you unsubscribe or withdraw consent, or 2 years after we were last in touch, whichever is sooner. After you unsubscribe, we keep just your email address on a “do not contact” list. |
| Client project records | For the length of the project, then 6 years after it finishes for accounting, tax and contract purposes. Some records about the building work itself, such as certificates and drawings, may be kept for up to 15 years after completion in case of a question or claim about the work. |
| Copies of form submissions in Netlify’s dashboard | We copy them into our own records and clear them from Netlify regularly, at least every 12 months |
| Website server logs | Kept by Netlify for a limited period under its own policies |
Keeping it safe
Our website is only served over an encrypted (HTTPS) connection, so what you type into our forms is encrypted on its way to us. Form submissions are stored in our Netlify account and our Google email account, and chat conversations in our Crisp account, all protected by passwords and only used by people at Watson & Dalton who need them.
No way of sending information over the internet is ever completely secure, but we take sensible steps to protect yours. If something went wrong that put your information at high risk, we’d tell you and, where the law requires it, the ICO.
Your rights
You have the right to:
- Access: ask for a copy of the information we hold about you.
- Rectification: ask us to correct anything that’s wrong or incomplete.
- Erasure: ask us to delete your information.
- Restriction: ask us to limit how we use your information, for example while we check it’s accurate.
- Objection: object to us using your information on the basis of our legitimate interests. If you object to emails about our services, we’ll always stop.
- Portability: ask for information you gave us in a commonly used electronic format, or for us to send it to someone else.
- Withdraw consent: where we rely on your consent, you can withdraw it at any time. This won’t affect anything we did before you withdrew it.
Some of these rights depend on the circumstances. For example, we may need to keep certain records for legal reasons even if you ask us to delete them, and if so we’ll explain why.
To use any of your rights, email info@watsonanddalton.com, call 07846 796056 or write to us. You can unsubscribe from our emails at any time by replying to one of them or emailing us. There’s normally no charge. We may ask you to confirm your identity, and we’ll respond within one month. If your request is complex, we may need up to two more months, and we’ll tell you if so.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. Email info@watsonanddalton.com or write to us at the address below. We’ll acknowledge your complaint within 30 days, look into it promptly and let you know the outcome.
You also have the right to complain to the Information Commission’s Office (ICO), the UK’s data protection regulator:

- Helpline0303 123 1113
Cookies are small files a website can store on your device. Our website doesn’t use cookies for analytics, advertising or tracking, and we don’t use any analytics tools. That’s why you won’t see a cookie banner.
- Our typefaces come from Google Fonts. Google says this service doesn’t set cookies, but it does receive your IP address and browser details, as explained in What we collect.
- Our live chat, provided by Crisp, sets cookies with names beginning
crisp-client/. They keep your chat conversation going as you move between pages or come back later, and aren’t used for tracking. They last up to 6 months and are renewed each time you return. See Crisp’s privacy policy. - Our hosting provider, Netlify, may show a small Netlify badge on the page. If you close it, your browser stores a short note in its local storage (similar to a cookie) so the badge stays closed. It doesn’t identify you and isn’t used to track you.
If we ever add analytics or other cookies that aren’t strictly necessary, we’ll ask for your permission first and update this policy.
Changes to this policy
We’ll update this policy if the way we use your information changes, for example if we start using a new service. The latest version will always be on this page, with the date it was last updated. If a change is significant, we’ll let you know where we can.
